Open Members and choose Invite. There are two ways to do it, and you can mix them.
Invite by email
Enter the person's email address and pick their role. Depending on the role you can also attach them to projects straight away, and set a pay rate if you will be invoicing their hours. Doing that now saves editing their profile later.
They receive an email with a link tied to that address. If they sign up with a different address instead, the invitation will not attach itself to that account.
Invite with a shared link
Use Invite via URL when a group is starting at once. You get one link that can be posted in a team chat or sent round.
Anyone holding that link can use it, so treat it as sensitive. You can regenerate it at any time, and the previous link stops working immediately. That is the fastest way to close it off if it went somewhere it should not have.
Choose the role carefully
The role decides what the person can see and do from the moment they arrive. Two are worth calling out:
- Client is for clients and auditors. It is read-only, it is limited to the projects you attach them to, and it does not consume a member seat.
- Admin can see and change everything, including pay rates and billing. Give it out sparingly.
You can change someone's role afterwards without re-inviting them.
Track who has not accepted
The Members page has a Pending invitations tab. Anyone sitting there has been invited but has not signed up yet. Re-send or revoke from that list instead of sending a second invitation, which would leave two live links.
If you have run out of seats
Your plan sets how many members and how many clients you may have. When you hit the limit the invite form says so and offers an upgrade. Deleting a member frees their seat. Archiving one does not.
