StaffVertex is a tool for running a business fairly and keeping honest records of work. This page sets out the small number of things you may not do with it.
It forms part of our Terms of Service. Breaking it is a breach of that agreement.
1. Who This Applies To
This policy applies to everyone who uses StaffVertex: the organization that buys it, its administrators, and every member who signs in. If you run an organization on StaffVertex, you are responsible for the people you invite into it.
2. What You May Not Do
You must not use StaffVertex to:
Break the law
- Do anything unlawful, or help anyone else do anything unlawful.
- Evade sanctions, export controls, or any restriction that applies to you or to us.
- Launder money, commit fraud, or falsify records to deceive an employer, a client, a tax authority or a court.
Attack or undermine the service
- Get around, disable or test our security, access controls or rate limits without our written permission.
- Reach data, accounts or organizations that are not yours.
- Upload or transmit malware, or anything designed to damage or gain unauthorised access to a system.
- Overload or disrupt the service, or interfere with anyone else's use of it.
- Copy, modify, reverse engineer, decompile or disassemble the service, except where the law expressly permits it.
Take what is not offered
- Scrape, crawl or bulk-extract data other than through the interfaces we document, within their limits.
- Resell, sublicense or provide the service to a third party as if it were your own, unless we have agreed that in writing.
- Share one account between several people, or use another person's account.
Misrepresent yourself
- Pretend to be someone else, or misstate who you work for.
- Give false information when registering, or hide who is really behind an organization.
3. Monitoring People Fairly
StaffVertex can capture screenshots, activity levels, applications, window titles and websites. That is a serious capability and it is the part of the product most easily misused.
You must not:
- Switch on any monitoring feature without telling the affected people, in advance and in writing.
- Monitor anyone where the law where they work does not allow it, or without the consent that law requires.
- Install the desktop app on a device belonging to someone who has not been told what it does.
- Use StaffVertex to monitor people who are not working for you: family members, partners, or anyone else.
- Use captured data to harass, intimidate or discriminate against anyone, or for any purpose you did not tell them about.
- Keep monitoring people outside their working hours, or leave capture running when it serves no legitimate purpose.
Section 7 of the Terms of Service sets out your obligations in full. If you are unsure whether monitoring is lawful where your people work, take legal advice before switching it on.
If you are being monitored and believe your employer has not told you or has no right to, you can contact us at legal@staffvertex.com. We cannot act as a judge of your employment relationship, and your employer controls its own records. We will still look into it, and we will act where our service is clearly being misused.
4. Content You Upload
You are responsible for what you and your members put into StaffVertex. That covers project files, comments, attachments, profile details and everything else. You must not upload:
- Anything that infringes someone else's copyright, trade mark, privacy or image rights.
- Material that is unlawful, harassing, defamatory, or that promotes violence or hatred.
- Sexual content involving minors, in any form.
- Other people's personal information that you have no right to hold, including the emergency contact and bank details fields, which must only be filled in with the knowledge of the person they describe.
5. Fair Use of the Service
Our plans are priced for normal business use. We do not publish hard caps on ordinary activity, and we would rather not need to. If your use is so far beyond normal that it affects other customers or costs us disproportionately, we will contact you and work out a sensible arrangement before taking any other step.
Creating extra organizations or accounts to get around plan limits, seat counts or a trial is not fair use, and we treat it as a breach of this policy.
6. How We Enforce This
When we believe this policy has been broken, our response depends on how serious it is and whether it looks deliberate. We may:
- Contact you and ask you to put it right.
- Remove or disable specific content or a specific feature.
- Suspend an individual account or a whole organization.
- End the agreement under the Terms of Service.
- Report the matter to the authorities, where we are required to or where there is a risk to someone's safety.
We will normally warn you first and give you a chance to fix the problem. We may act immediately, without warning, where there is a live security threat, a legal requirement, a risk of harm to someone, or clear deliberate abuse.
Suspension or termination for breaching this policy does not entitle you to a refund. See the Refund Policy.

7. Reporting Abuse
Tell us what you saw, where, and when. We treat reports confidentially and we do not tell the subject of a report who made it.
8. Changes to This Policy
We may update this policy as the product changes or as new kinds of misuse appear. Significant changes are notified in the same way as changes to the Terms of Service. The date at the top shows the current version.
