Archive, restore or remove a member

The right way to offboard somebody, what happens to their work, and why project ownership can block you.

Three actions, three different meanings. Pick by what you are doing.

Archive, for a pause

They keep their place in the organization but cannot sign in. Their time, tasks and projects are untouched. Use it for extended leave or a contractor you expect back.

It is reversible: activate them and they carry on where they left off. Note that archiving does not free a seat.

Delete, when they have gone

Removes them from the active team and frees their seat. Their history stays, so every hour they tracked still counts in reports and on invoices, attributed to them and marked as a past member.

They move to Past Members and can be restored later if they come back.

Permanently delete, the end of the record

Available on a past member. This clears the membership record for good and cannot be undone. Reach for it only when you have a real reason, such as a data-removal request, and understand you are removing history you may later need to explain an invoice.

Project ownership can block a removal

If the person owns projects, StaffVertex refuses to remove them and tells you which projects need a new owner. A project with no owner has nobody accountable for it.

Transfer ownership to somebody else, which the prompt offers to do, and the removal proceeds. If you are offboarding several people, do the transfers first and the removals afterwards.

An offboarding order that works

  1. Ask them to stop any running timer, and let the desktop app finish syncing.
  2. Transfer any projects they own.
  3. Check for unfinished tasks assigned to them and reassign.
  4. Settle any payable invoices for their final period.
  5. Delete the member.

Restoring somebody

Find them under Past Members and restore. Their history reattaches and they can sign in again. Check their role and project assignments afterwards, because those are not assumed to be the same as before.

Somebody whose status is Left cannot be restored. Invite them again instead, and their previous work still stands on the record.

You cannot remove yourself

Administrators cannot delete or archive their own account. Ask another administrator.
