Set up your organization

The handful of settings worth getting right before you invite anyone, especially the timezone.

An organization holds everything: people, projects, tracked time, reports and invoices. A few settings are far cheaper to get right now than to correct later.

Set the timezone first

This is the one to pause on. The organization timezone decides where a working day starts and ends, which decides which day a piece of tracked time counts towards. Set it to the timezone your team works in, not the one you personally happen to be in today.

Changing it later does not move time that has already been recorded, because those hours were filed against the old day boundary. Set it once, correctly, at the start.

It lives in Settings → Organization Profile → Regional settings, along with your currency and date format.

Fill in the organization profile

Name, logo, contact details and business address. These are not decoration. They appear on invoices your clients receive, so any organization that bills anyone should complete them properly.

Decide your working day

Under Settings → Work & Time Settings you set the standard hours expected per working day, a minimum and a maximum, and which days of the week count as working days. The maximum acts as a guard rail: time beyond it is flagged for review instead of being accepted into totals unseen.

The same screen controls whether people may add time by hand, how far back they may date an entry, and how strictly activity is graded.

Decide about monitoring before anyone starts

Screenshots, idle detection and app tracking are configured in Settings → Desktop App Settings. Whatever you choose, tell your team before they start tracking. The desktop app is open about what it records, but hearing it from you first is better than discovering it in a settings screen.

Then invite people

With the timezone, the working day and the monitoring rules decided, you are ready to bring the team in. Read about roles before you send invitations. The role is chosen at invitation time and is what decides what each person can see.
