StaffVertex has four reports. Each answers a different question, so the fastest route is to pick the question first.
"How much time went where?"
Time & Activity. Hours by member, project and task over a date range, with the average activity level alongside. This is the report for timesheet review, for checking what a week contained, and for answering a client asking what you spent the month on.
"How are our projects doing?"
Project report. Every project with its status, progress, deadline, hours and budget use. Filter to at-risk and overdue work to see what needs attention today. It is about delivery, not money.
"Did this project make money?"
Project Finance. Revenue, cost, profit and margin per project. Revenue is what clients are billed, and cost is what you pay the people who worked on it. It carries pay rates and margins, so it is normally restricted to administrators.
"What did each person cost, and what did their work earn?"
Member Finance. The same money seen person-first instead of project-first. Use it for a member's cost across everything they touched, or to sanity-check pay for a period.
The two finance reports must agree
They are not two calculations. They are one set of priced hours, grouped two ways. Total cost in Project Finance equals total cost in Member Finance, by construction.
If they look different to you, it is usually the filters. Member Finance always includes work on deleted projects, while Project Finance only does if you tick Include deleted. Match the filters and the numbers match.
Before you compare anything
- Date range. Reports default to a recent window, not to all time.
- Past projects. Off by default. A comparison across periods needs it on, or completed work vanishes from the older one.
- Past members. On by default in the finance reports, because omitting someone who worked half the period makes the total wrong.
Exporting
Each report exports for a spreadsheet or a client pack. The export contains the rows the filters produced, so set the filters first, then export.
