The everyday report. Open Reports → Time and Activity.
Setting it up
Choose a date range, then narrow by member and project. With nothing selected you get the whole organization for that range, which is a fine place to start.
What you get
- Total time worked across the range.
- A breakdown by member, and by project and task.
- The average activity level for each row.
- How many members and projects contributed.
Reading activity here
The activity figure is the average grade of the minutes in that row. Low activity is not the same as little work, because reading, calls and review all grade low and still count fully. Treat it as texture, not as a score.
Rows made up of manual entries show no activity at all. There was nothing to measure.
The flags
- Past member: the person is no longer in the organization. Their hours still count and still belong to them.
- Past project: a completed or removed project. Include them with the past projects option, which is off by default.
- Exceeds the allowed limit: an entry beyond your organization's daily maximum, held out of totals until someone reviews it. Usually a timer left running overnight. Fix it on the timesheet and it re-joins.
When the total is lower than expected
- Past projects are excluded. Turn them on.
- An entry is flagged over the daily limit and therefore not counted.
- The range is measured in the organization's timezone, so the edges of it may not be where you assume.
- Overlapping entries are counted once, never twice.
Exporting
Export what is on screen for a spreadsheet or a client. Set the filters first, because the export follows them exactly.
