When a subscription lapses

Grace periods, suspension and what each banner across the top of the app is telling you.

Nothing is switched off without warning. There is a sequence, and each stage is announced.

Before renewal

You are reminded that renewal is coming, and again if a trial is ending. Nothing changes. It is a heads-up so a lapse is never a surprise.

A payment fails

The subscription stays usable while the payment is retried over the following days. A banner appears asking you to update your payment details, and everyone can keep working.

This is the moment to act. Almost every suspension started as a failed payment that nobody dealt with.

The grace period

If retries do not succeed, a grace period opens. You still have access, with a countdown. It exists so that a card problem over a weekend does not stop your team on Monday.

Expired or suspended

Once the grace period closes, access is restricted:

  • Members cannot start timers.
  • Administrators can sign in to fix the subscription.
  • Your data stays exactly where it is.

Renew and everything returns, including any time the desktop app was holding locally.

The banners

  • Renewal or trial ending soon: informational.
  • Payment failed, update payment: act now, still working.
  • Grace period active: a deadline is running.
  • Expired or suspended: renew to restore access.
  • Plan limit reached: not a lapse. You have hit a seat or storage limit.

Fixing it

  1. Open Settings → Subscription & Billing.
  2. Update the card in the payment portal.
  3. Retry the payment, or renew the plan.

If the card is fine and the payment still fails, it is usually the bank blocking an online or international charge. A phone call to them resolves it faster than anything you can change here.
